If you are looking to borrow wardrobe, set pieces, scenery, or props for your next production, we may be able to help!  Here you will find The Community Players’ Property Lending Policy, Wardrobe Use Policy, and Policy and Checkout Form for Borrowers of Set Pieces and Scenery.  We do not charge for borrowing, but borrowers are asked to consider making a donation to the Players of between $50 and $500 per production.  Borrowers are provided with a letter, donation form and a stamped return envelope each time they borrow to facilitate this.  For details, CLICK HERE.

 

DONATING ITEMS TO THE PLAYERS:  And speaking of donations, the Players appreciate offers for non-monetary donations, but our storage space is limited!  So PLEASE contact one of the Properties Chairs, the Wardrobe Chair, or the Shop Steward  before donating items to the Players.  Providing photos is helpful for us to make decisions about items being offered for donation.  Donations shall be accepted by appointment only.  Under no circumstances should donated items be dropped off at the Studio without an authorized member of the Players present to accept them from the donor.

PROPERTY LENDING POLICY

      The following must be observed:

  1. BORROWING – Specific appointments must be made with one of the Props Chairs to visit the Players Studio. Only 2 persons per group will be allowed into the props room. A responsible adult must sign a policy agreement as well as a list of borrowed props at the time of the loan. We reserve the right to limit the number of appointments on any given day. Please plan ahead.
  2. NO RE-LOANING – Your theatre group may not loan properties borrowed from Players to another group while they are signed out to your group. Each organization is responsible for its own borrowing through the proper procedure.
  1. MODIFICATIONS – Making changes to borrowed items is not permitted without the consent of the Props Chair(s). You must obtain permission from the Chair before painting, staining, or otherwise altering ANY borrowed item(s).
  1. RETURNS – An appointment with the Props Chair(s) must be made to return items. All pieces should be returned within 3 weeks after the close of your show. Due dates will be reflected on the borrowed items list signed by the borrower. If additional time is needed, arrangements must be made with the Chair. If props are not returned as specified, your group may be excluded from borrowing from the Players in the future. We will also bill your group for the amount equal to our estimate of the value of the unreturned items. 
  1. RETURN EVERYTHING AT ONCE Please double check that you have ALL borrowed items gathered and ready to return all at once prior to returning. This makes it easier for everyone when checking items back in. 
  1. STEWARDSHIP – When returning, please plan on spending 15 – 30 minutes to help put away your borrowed pieces. 
  1. NON-LOANABLE ITEMS – The Community Players reserve the right to decide which prop pieces are available for loan and which are not.

Wardrobe Use Policy

The following must be observed:

1.  BORROWING – Specific appointments must be made with the Wardrobe Chair to visit the Players’ Studio.  Only two persons per group will be allowed into the wardrobe area.  A responsible adult must sign a policy agreement and for a list of costumes borrowed at the time of costume loan.  Time slots will be one or two hours depending on the size of the borrow.  We reserve the right to limit the number of appointments on any given day.  Plan ahead.

2.  There will be no loaning of borrowed costumes to another group while signed out to your group.  Each group is responsible for its own borrowing through the proper procedure.

3.  ALTERATIONS — All alterations should be made by hand, not by sewing machine.  Costumes may be taken in, shortened or lengthened but may not be cut.  All articles must be returned in original condition.  Trim may be added to any costume, but must be removed before costume return.  No glue on any costume trim.  No existing trim may be removed.  Please do not put tape over the bar codes.  It lifts the print.

4.  RETURNS — A specific appointment with the Wardrobe Chair must be made to return items.  All costumes must be dry cleaned or laundered and returned to the Players Studio within 3 weeks after the close of your show.  Due dates are printed on your receipt.  Please don’t spray OXY or Spray and Wash on the bar codes.  It will lift the print.  Costumes must be returned with the wire hangers included.  If additional time is needed, arrangements must be made with the Wardrobe Chair.  If costumes are not returned as specified in the agreement, your group will be excluded from borrowing from the Players in the future.  We will also bill your group for the amount equal to the missing items.

5.  There is a $1 charge per label for garments returned without labels.  Please stitch the tags in.  Thanks!

6.  PLEASE double check that you have everything prior to returning!  This makes it easier for everyone at the check in.

7.  STEWARDSHIP — When returning, please plan on spending at least 1/2 hour extra to help us put away your items.

8.  The Community Players reserve the right to decide which costumes are loaned and which stay in our collection for our exclusive use.

Policy and Checkout Form

For Borrowers of Set Pieces and Scenery

At the sole discretion of the Players, set/scenery pieces may be borrowed by outside groups.  The following procedures and check out form shall be used in the process.

1.  EMAIL THE REQUEST.  One individual from the borrowing group (“the Responsible Party”) shall send an email to the Shop Steward to request the loan of materials.  The email shall contain:

  a)  The Responsible Party’s name;

  b)  The group they represent;

  c)  Their telephone number;

  d)  Their email address;

  e)  The proposed dates for pickup and return of the items; and

  f)  An indication of dates and times when the Responsible Party can be contacted via phone to discuss the availability of materials and more exact dates and times for pick up and return.

2.  COMPLETE THE CHECKOUT FORM.  When the materials are picked up, or before, the Responsible Party shall complete and submit a signed checkout form, which may be obtained from the Shop Steward or from our website under the Producers tab.  CLICK HERE for a copy of the checkout form..  

The checkout form will indicate the Responsible Party’s name, group they represent, telephone number, email address, an itemized list of the items being borrowed, and the date range for the loan, including the agreed upon date and time for return of the items.

3.  RETURN AND RESHELVING OF THE BORROWED ITEMS.  When returning the borrowed materials, the Responsible Party or their designee who is doing the actual return shall be responsible for assisting the Shop Steward or his designee in checking the borrowed pieces back in and putting them away in the shop.

Under no circumstances shall a borrower return materials by simply dropping them off at the Studio (including near the front door, back door, loading dock, or staircase to the basement),  The Shop Steward or a designee must be present and supervising when the materials are returned.
